EPO - Free Form

An EPO or Extra Purchase Order is a new task that is an order placed for a specific job. An EPO may be used to order additional materials or labor or replacement materials if they are stolen from a job site. EPOs may be setup so they are approved before the order is submitted to the supplier/trade. A dollar limit may be entered for each user in the User Detail page. When a user creates an EPO, the dollar amount is compared to the dollar limit. If the amount of the EPO is more than the limit, the EPO will require approval. Only users with an EPO Approval Role may approve EPOs. The EPO Free Form page lets you create an EPO by manually entering task and EPO information.

When you create the EPO, you can choose to Add Back Charge to EPO or Add EPO To Multiple Jobs. Currently an EPO with a Back Charge cannot be added to multiple Jobs.

 

To create a Free Form EPO:

  1. Click the Acct Code field and select the appropriate account code to assign to this order. Only Active Account Codes appear in the filter.

  2. Click the Stage field and make the appropriate stage for this EPO.

  3. In the New Task Name field, type the name you want for this task.

  4. In the Request Date field, type the date the materials on this EPO are needed.

  5. Type the appropriate number in the Order Number field.

  6. Click the Supplier field and choose the appropriate supplier.

  7. In the Supplier Instructions field, type any notes for the supplier.

  8. Click the EPO Reason field and choose the appropriate reason for this EPO.

  9. Complete the EPO Notes (to back office) field with any relevant information.

  10. Complete the EPO Items section with the SKU, Description, Quantity and Unit Price for each line item on this purchase order.

  11. If the task has options, you can choose an Option for each line item from the drop-down list next to the Description column.

  12. If the EPO is ready to be submitted for approval, click the EPO Ready check box in the bottom left of the page.

  13. Click the Create EPO button. The new EPO task is added and the Job Task page appears.
